The listing sets the expectation
Before a buyer sends a message, the listing should reflect the current vehicle, price, mileage, condition notes, and available features. If a unit sells or the price changes, the listing needs attention quickly. The first disappointment usually happens when the listing and reality do not match.
Respond to the question in front of you
Confirm availability before promising a test drive. Answer the buyer’s immediate question clearly, then guide the conversation toward a useful next step. Generic replies feel automated and often create another round of messages instead of an appointment.
Capture context before handoff
The sales or BDC handoff should include the vehicle, the buyer’s question, contact information if they agree to share it, preferred timing, and conversation status. Without that context, the next employee starts over and the shopper feels it.
Use people for judgment calls
Pricing, financing, trade values, vehicle condition, and availability questions need human review. Messaging tools can help keep a response moving, but they should not make promises a dealership cannot keep.
Track the appointment path
Measure response time, qualified conversations, appointments set, appointments shown, and outcomes when available. Message count alone cannot tell you whether Marketplace is contributing to the store.
